How to Write an RFQ That Suppliers Answer
A good request is short, specific and honest about what is still open.
Vague enquiries get vague prices. The requests that produce usable quotes share the same six elements.
The six elements suppliers need
| Element | What to write |
|---|---|
| Application | The process, the product and the takt you must hit |
| Scope | What is included and what is explicitly excluded |
| Site conditions | Space, power, air, environment and existing equipment |
| Volume | Units per shift, shift pattern and seasonality |
| Timeline | When you need a quotation, delivery and acceptance |
| Commercial frame | Budget range, payment expectations and currency |
Habits that speed up quoting
- Number your requirements so suppliers can answer point by point.
- State which conditions are fixed and which are open to alternatives.
- Say how you will evaluate and when you will decide.
- Keep one named contact and a response deadline.
Prices are indicative until a specification and site survey are agreed.
