Turn a standards claim into a reviewable record
A proposal saying that a robot meets international standards leaves several questions unanswered. Which document, edition, product configuration and assessment method does the supplier mean? This checklist helps a buyer assemble evidence that an engineer or conformity specialist can actually review. It is a research workflow, not a declaration that a machine complies.
Start a register with one row per claimed requirement. Keep the requirement separate from the supplier's answer and from your review decision. A missing document should remain an open item, with an owner and due date, rather than becoming an assumed pass.
Identify the document and its publisher
Record the full identifier, title, publisher, edition, publication date, language and official source URL. Note amendments and corrigenda separately. Open the publisher's catalogue rather than relying on a reseller headline or a cropped certificate image. For example, the ISO 10218-2 catalogue record identifies a specific 2025 publication covering industrial robot applications and cells.
Save the date of your lookup. A catalogue page establishes bibliographic status and a public scope summary; it does not provide the entire technical text or demonstrate that a supplier implemented it. Arrange legitimate access to the documents required for detailed review.
Separate standards, tests and certificates
ISO explains that it does not issue certification. Ask who issued a presented certificate and how its authenticity and status can be verified. Record the named company, site, product, version, assessment scheme and exclusions. A document for one factory or development process cannot simply be reassigned to every robot sold by the group.
ISO's conformity-assessment overview distinguishes testing, inspection and certification. In your register, describe what each supplied document actually demonstrates. A laboratory measurement, a supplier declaration and a third-party certificate answer different questions; avoid combining them into a single tick box labelled “approved”.
Check jurisdiction and application boundaries
Identify the destination market, intended use and responsible economic operator. For an EU project, consult the Commission's machinery harmonised-standards page for the relevant legal publication route. An ISO edition number alone does not establish the status of a European harmonised reference or its coverage.
Describe the supplied item precisely: bare arm, controller, mobile base, tool or complete cell. Record where people can enter, what the process handles and which operating modes are proposed. Ask the reviewer to identify additional requirements and exclusions instead of treating a general robotics document as a universal rulebook.
Connect each claim to the delivered configuration
Match equipment model, serial or batch identification, controller version, software release and optional safety features.
Link the claim to its declaration, test report, installation instructions or documented assessment.
Check that report conditions represent the intended load, environment and operating mode.
Record who resolves mismatches and what evidence is required before the acceptance decision.
Keep a change log when a supplier substitutes hardware or updates software. A replacement component can change the evidence needed even when the commercial model name stays the same.
Close the review with an accountable decision
Give the completed register to the specialists responsible for engineering, safety and the destination market. Record accepted items, unresolved questions and conditions on use. Recheck document status at design freeze and before final handover. This preserves a clear chain from a standards claim to an actual project decision.
