Describe the current task and the staff time it requires. State the operating zone, hours and service quality expected. Leave numerical targets open until the responsible team has established a baseline under representative conditions.
Record the working environment
Prepare a layout showing work zones, public circulation, furniture, thresholds, doors and parking. Record temporary obstacles and variations between quiet and busy periods. Identify areas that must remain accessible and who can change the layout during the trial.
Model-specific limits matter. The Servi Plus specification gives both per-tray and total payload limits. For delivery trials, record the actual container arrangement and who loads and unloads each trip.
Delivery inputs: item dimensions, loading points, destinations and spill response.

Shared inputs: storage, power, operating supervision and approved recovery access.
Include the supporting work
List preparation and end-of-shift tasks as part of the pilot. Kärcher's KIRA B 50 documentation describes an optional station for water handling and charging. Ask whether such infrastructure is included and which daily tasks remain manual.
Assign owners for consumables, charging, inspections, cleaning the equipment and reporting faults. The Bear Robotics FAQ identifies internet requirements for mapping, analytics and feedback. Confirm the selected system's network needs with the supplier and the site's IT team.
Agree measurable acceptance
Approve readiness, supervised trial and operating acceptance as separate gates. Include staff training and the agreed public-area operating arrangements before starting. Tests should follow a reviewed procedure appropriate to the selected machine and site.
For delivery: record completed requests, waiting, interventions, load damage and missed handoffs.
For cleaning: inspect agreed areas for the specified result and record missed areas and required manual finishing.
For both: measure preparation, replenishment, recovery and end-of-shift labor.
Set the observation period and sample conditions in advance. A route-completion report can support evaluation, but the site team must still check whether the required service or cleaning outcome was achieved.
Plan exceptions and staff ownership
Document responses to blocked routes, unexpected crowds, depleted consumables and equipment faults. Name who can stop operation, recover the machine and decide when service can resume. Keep an available manual method for the trial's essential tasks.
Review noise, guest interaction and staff workload through structured observations. Avoid treating promotional demonstrations or nominal operating hours as evidence of a complete shift at this site. Record configuration changes so that results from different settings are not mixed without explanation.
Deliver evidence for the next decision
Compile the layout, task boundaries, training record, daily task log, outcome inspections and unresolved issues. Show any effect on staff duties separately from cash savings; redeployed time only becomes a financial assumption when the business explains how it will use that time.
