RFQ Guide: Cobot Cell Acceptance and Support

Define the acceptance object
This original Zhilianhai editorial guide helps buyers describe acceptance and support in a cobot RFQ. It is not a live procurement request or a ready-to-use safety validation procedure. Define the complete application that will be handed over, including the arm, tool, product handling, controls, protective measures and documentation.
State the intended task, product range and operating conditions. Distinguish acceptance at the integrator's premises from acceptance after installation. Agree which tests can be completed before shipment and which depend on the actual site.
Freeze the configuration and samples
Request an equipment list with model identifiers, software versions, tooling and licensed options. Provide representative products and agree the variation the test will cover. Document mounting, infeed presentation, utilities and downstream dependencies so that test results can be interpreted later.
The UR30 payload documentation relates capacity to payload geometry and tool mass. Ask for the integrator's check of the proposed loaded configuration, rather than accepting an arm's headline capacity as the application result.

Assign assessment and validation ownership
Universal Robots' Safety FAQ identifies the integrator or integrating end user as responsible for the application assessment. Ask the respondent to name the party responsible for documenting and validating the completed arrangement.
Request the proposed deliverables, review points and outstanding site actions. Include normal operation, setup, changeover, maintenance and recovery within the agreed assessment scope. The supplier and qualified site reviewers should establish the applicable requirements and detailed validation methods for this installation.
Write witnessed functional tests
For each required task, state input conditions, expected output, observation period and pass criteria. Include normal processing, permitted product changes and approved fault-recovery scenarios. Log defects and interventions instead of presenting only the fastest successful sequence.
Robotiq's palletizing documentation separates infeed, gripper and other workcell modules. In a palletizing RFQ, include carton presentation and pallet exchange in the agreed test boundary; their effect should remain visible in throughput reporting.
Quality: define acceptable placement or process output and inspection method.
Performance: define the product mix, elapsed time and counted interruptions.
Recovery: demonstrate approved restart conditions and operator responsibilities.
Specify support as deliverables
Request operating and maintenance instructions, configuration backups, training materials and a spare-parts recommendation. Define who can change programs and which changes require further review. Ask for a demonstrated restore procedure appropriate to the supplied system and the site's access policy.
Separate response time from restoration time in support proposals. State coverage hours, escalation route, remote access conditions, onsite service availability and chargeable exclusions. Identify who supports third-party tooling and controls when a fault crosses supplier boundaries. Ask how software updates will be reviewed and scheduled.
Connect handover to acceptance
Use an acceptance register listing each requirement, evidence, reviewer and status. Agree how remaining defects will be closed and which documents are required for handover. Keep commercial milestones and technical acceptance criteria explicit in the final negotiated request.
